Reason For A Property Condition Survey at Move-In

Prior to a Tenant moving into a managed property, the Salefish Properties staff records the condition of every room of the home and prepares a very detailed report, taking hundreds of pictures and capturing the state of the interior and exterior of the home with multiple video recordings. Why is this so important?


The Girl Scout motto is “Be Prepared” and that is what we must be when moving a new Tenant into a rental property. One of the ways we prepare is with a thorough and detailed Property Condition Survey (PCS) which assesses the home from ceiling-to-floor and everything else in between. Salefish Properties spends many hours documenting the condition of all aspects of the rental unit in the form of a room-by-room spreadsheet, digital images and videos. This multiple-page report is reviewed with the Tenant at the walk-through on the day the Tenant takes possession of the rental property. Each Tenant is required to initial and sign the report. The entire Move-in PCS process is critical; Salefish associates become very familiar with each property and it gives the Tenant an idea of the level of detail we go to and sets the expectation for how they should care for the property during their tenancy.


When the Tenant moves out, having the Move-in PCS to refer to is very helpful – whether they move out the next year or five years later. We compare the condition of the property at the time of move-in to the condition at move-out, taking into consideration normal wear and tear, of course.


Documenting the prior condition has reduced the amount of disputes we receive when putting a claim on a Tenant’s security deposit. Thankfully, neither Salefish Properties nor the Landlord’s we represent have ever had to go to court to defend a security deposit claim. If a Tenant does dispute a claim, we are prepared with the “before” and “after” pictures & videos, along with Move-in PCS report the Tenant’s signed at move-in.
